FAQ - Grant Agreement

Which document must be sent electronically when launching a project application?
The project application can be launched by completing the package of documents available on the Hungary Helps Programme website and sending it to the Hungary Helps Agency (hereinafter referred to as the "HHA") in an editable format (without date and signature). Documents requiered to start the project:- Project description and application- Project application and description Annex 1 page-A bank account certificate issued by the bank- Budget implementation summary- Bank account certificate issued by the bank- Document certifying the foundation/existence of the organization and the identity of the representative- Declaration for Grant agreement
What happens to the project application once it has been submitted?
The HHA will examine the application and the annexes submitted, contact the applicant to clarify any issues and finalise the project launch documents in order to submit the application to the State Secretary of the Ministry of Foreign Affairs and Trade (hereinafter: the State Secretary) responsible for the implementation of the Hungary Helps Program
When and how should final versions be returned?
After the preliminary approval of the HHA, but before its submission to the State Secretary, the finalised project launch documents, signed and sealed by the person authorised to represent the applicant organisation (hereinafter: the Beneficiary), must be sent both electronically and by post. In the absence of original documents, the application will be suspended by the HHA.
How many originals of the project launch documents must be returned by post?
3 identical originals of the signed and stamped project start-up documents must be returned after approval by the Supporter.
When and how to return the Bank Authorisation Letter and Bank Account Certificate?
4 originals of the Bank Authorization Letter and the Bank Account Certificate must be requested from the Beneficiary's account creditor bank after the project has been approved, before the conclusion of the Grant Agreement:1 original: to be kept by the bank1 original: to be kept by the Beneficiary2 originals: to be sent to the HHA
What date must the organisational documents (deed of incorporation/existence and signature of the representative of the organisation) be dated? Is a simple copy of these documents sufficient?
An original or notarised document dated no more than 3 months old must be returned to the HHA. The HHA reserves the right to request updated documentation before the signature of the Grant Agreement if the date of the annexes attached at the time of submission of the project application has expired.
When do I have to send in the Professional and Financial Report?
The Grant agreement Report form and the Budget implemetation summary must be submitted in an editable format (without date and signature) by completing the document package available on the Hungary Helps Programme website and by the deadline specified in the Grant Agreement:- Grant Agreement Report form- Budget implementation sumary (HUF or foreign currency)- Budget implementation sumary (in EUR or HUF) or in EUR/USD) - Time sheet (if relevant)
What is considered a definitive Professional and financial report, when and how should they be sent?
The defintive Professional and Financial Report is the one approved by the HHA after answering the clarifying questions and after having fulfilled its call for evidence. Once this approval has been obtained, 1 original of the signed and sealed finalised project closure documents must be sent.

FAQ - Letter of Donation

Which document must be sent electronically when launching a project application?
The project application can be started by completing and signing the project application form and sending it to the central email address of the Hungary Helps Agency (hereinafter: HHA) hungaryhelps@hungaryhelps.gov.hu. The Project Launching Documents are as follows:- Project application and description (detailed)- Project application and description (1 pager)- Simplified cost and schedule- Declarations for making a donation- Statement of project and donation details - Certificate of incorporation/existence of the organisation- Bank account certificate issued by the bank- Document certifying the foundation/existence of the organization and the identity of the representative- Signature of the representative of the organisation

What is an Acceptance Letter and when should it be sent to Hungary Helps Agency?
The Beneficiary acknowledges acceptance of the terms and contents of the Donation Letter by signing the Acceptance Form and returning it to the Donor. The Acceptance Form shall be sent by the Beneficiary to the Donor in electronic form and by post in 1 original copy, after having received the draft Donor Letter and its contents, previously sent by the HHA (hereinafter referred to as the Donor) by e-mail, prior to the signature of the Donor Letter. In the absence of original documents, the HHA will suspend the submitted application.
